Estimates

Estimates are non-posting quotes you send before the work is done. They carry no accounting impact until accepted and converted, so you can propose freely and only book revenue when the customer says yes.

Key capabilities

  • Draft, sent, accepted, and declined statuses to track each quote
  • Line items, quantities, pricing, and tax from your products & services catalog
  • Expiration dates and customer-facing notes/terms
  • One-click conversion of an accepted estimate into an invoice
  • No journal entry until the estimate becomes an invoice (estimates never post)

How it works

An estimate is purely a sales document. Nothing hits the ledger while it is open. When you convert an accepted estimate, DayZero creates an invoice from its line items, and the normal AR posting happens on that invoice.

How to use it

  1. Open Estimates and choose Create.
  2. Select the customer and add line items, quantities, and pricing.
  3. Set an expiration date and any terms, then send it.
  4. Update the status as the customer responds (accepted / declined).
  5. On an accepted estimate, choose Convert to invoice to bill it.
